Privacy Policy

This Privacy Policy explains how Itza Media Limited ("Itza", "we", "us" or "our") collects and uses personal information when you visit getset.life (the "GetSet Website" or "GetSet"), sign up to our newsletter or get in touch with us. GetSet provides free teaching resources for educators, and it runs alongside the ITZA learning platform at itza.io.

We have kept this policy short because GetSet collects very little about you. You do not need an account to use GetSet, and we do not ask for your name, school or any other details to view or download resources.

This policy is written in line with the UK General Data Protection Regulation ("UK GDPR"), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 ("PECR"). Please read it together with our Cookie Policy and Terms & Conditions.

Who We Are

Itza Media Limited is a private company registered in England and Wales with company number 11005147. Our registered office is Suite 4, Club Row Studios, 5 Old Nichol Street, London, E2 7HR, England.

We are the "controller" of the personal information described in this policy, which means we decide how and why it is used. If you have any questions about this policy or how we handle your information, please email support@itza.io or write to us at the address above.

What This Policy Covers

This policy covers the GetSet Website only. GetSet links to other services that have their own privacy terms:

  • ITZA pathways on itza.io. Each GetSet session links to a learning pathway on itza.io. When you or your students use itza.io, the ITZA Privacy Policy applies, including its protections for learners under 18.
  • Google Docs and Google Slides. Some resources, such as slide decks and editable learner journals, open in Google Docs or Google Slides. Google's own privacy policy applies when you open or copy those files.
  • Social media. Links to our Facebook, YouTube, Instagram and LinkedIn pages take you to those platforms, which have their own privacy policies.

Who GetSet Is For

GetSet is designed for teachers, educators and other adults who support young people's learning. It is not designed for use by children, and we do not knowingly collect personal information from anyone under 18 through the GetSet Website. If you are under 18, please do not sign up to the GetSet newsletter. If you believe a child has given us their details, please contact us and we will delete them.

What We Collect and Why

Newsletter sign-up. If you sign up to our newsletter, we collect your email address and a record of your consent (the date and time you signed up and the wording you agreed to). We use this to send you updates and news about GetSet and ITZA, such as new programmes, articles, events and challenges. Our legal basis is your consent. You can unsubscribe at any time using the link in any email or by contacting us.

Newsletter engagement. Our email service records whether newsletters are delivered and opened and which links are clicked. We use this to understand which content teachers find useful and to keep our mailing list healthy. Our legal basis is our legitimate interest in improving our communications.

Messages you send us. If you email us at support@itza.io, we collect your email address, your name if you include it, and anything you choose to tell us. We use this to reply to you and keep a record of our correspondence. Our legal basis is our legitimate interest in responding to enquiries.

Website usage information. If you accept optional cookies, we collect information about how you use the GetSet Website, such as pages visited, resources downloaded, time on site, the website that referred you, and your device and browser type. We use this to understand which resources are used and to improve the site. Our legal basis is your consent, which you give and can change through Cookie settings. See our Cookie Policy for details.

Advertising measurement. If you accept optional cookies, the Meta Pixel records when you visit GetSet or sign up to our newsletter after seeing one of our adverts on Facebook or Instagram, along with the pages you visit and information about your device and browser. We use this to measure whether our adverts work and to show follow-up adverts to people who have visited GetSet. Our legal basis is your consent, which you can change at any time through Cookie settings.

Technical information. When you visit any website, your browser sends technical information such as your IP address, browser type and the time of your request. Our hosting and content delivery providers process this to deliver pages and images to you. We do not currently keep server logs of these requests. Our legal basis is our legitimate interest in running a secure and reliable website.

We do not use your information to make automated decisions about you, and we do not sell your personal information.

Who We Share Information With

We use a small number of trusted service providers to run the GetSet Website and our newsletter. They process personal information on our behalf, only on our instructions, and under written contracts that require them to keep it secure:

  • HubSpot, Inc., which manages our newsletter sign-ups, mailing list and email sending.
  • Amazon Web Services (AWS), which hosts the GetSet Website.
  • Sanity, our content management system, which stores and delivers the images, some programme films and other content on the site.
  • Google LLC, which provides website usage statistics through Google Analytics 4, where you have accepted optional cookies.
  • Meta Platforms, Inc., which measures how people reach GetSet from our advertising, where you have accepted optional cookies.
  • YouTube (Google LLC) and Vimeo, Inc., which play some of our programme films. Other films are stored and delivered by Sanity.

Meta does not only act on our instructions. It also uses the information collected through the Meta Pixel for its own purposes, as described in Meta's Privacy Policy. Itza and Meta are joint controllers for collecting this information and sending it to Meta.

We may also disclose personal information where the law requires it, or where it is necessary to protect the rights, property or safety of Itza or others. This may include disclosures to law enforcement agencies, regulators or legal advisers.

International Transfers

Our HubSpot account is hosted in the European Union, in Germany. Your newsletter and contact details are stored there rather than in the United States. Germany is covered by UK adequacy regulations, which means personal information can be transferred there in the same way as within the UK.

HubSpot, Inc. in the United States may still access this information to support and maintain the service. HubSpot, Inc. has self-certified to the EU-US Data Privacy Framework and to the UK Extension to that framework, which UK adequacy regulations recognise as providing an adequate level of protection. We rely on that certification for any access from the United States. Where the framework does not cover a transfer, or if it ceases to apply, HubSpot’s Data Processing Agreement also includes the Standard Contractual Clauses and the International Data Transfer Addendum issued by the Information Commissioner’s Office, and those apply instead.

Some of our other service providers are based in or process data in the United States. For those we rely on UK adequacy regulations where they apply, or on the International Data Transfer Agreement or Addendum approved by the Information Commissioner’s Office.

How Long We Keep Information

  • Newsletter subscribers: until you unsubscribe. If you have not opened or clicked any of our emails for two years, we will remove you from our mailing list.
  • Unsubscribe records: when you unsubscribe, we keep your email address on a suppression list for as long as we run a mailing list, so that we do not contact you again by mistake.
  • Correspondence: five years after our last interaction with you.
  • Website analytics: Google Analytics deletes visit-level data after 14 months. Reports built from totals, which do not identify anyone, are kept for longer.
  • Advertising measurement: the Meta Pixel sets cookies that last 90 days. Nobody stays in an audience we build from site visits for more than 180 days. Meta keeps its own record of these events under its Business Tools Terms.
  • Newsletter and website activity in HubSpot: kept alongside your subscription and deleted when your contact record is deleted.

When we no longer need personal information, we securely delete it or anonymise it so it can no longer identify you. We may keep anonymised statistics indefinitely.

How We Keep Information Safe

We use appropriate technical and organisational measures to protect personal information from unauthorised access, loss or misuse. Access is limited to staff and service providers who need it. If a data breach affects your information, we will notify you and the Information Commissioner's Office where the law requires us to.

No method of transmission over the internet is completely secure, so we cannot guarantee the security of information you send to us online.

Your Rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information;
  • object to, or ask us to restrict, how we use your information, including where we rely on legitimate interests;
  • ask us to transfer your information to another organisation, where this applies;
  • withdraw your consent at any time, for example by unsubscribing from our newsletter or changing your choices in Cookie settings. Withdrawing consent does not affect anything we did before you withdrew it.

To exercise any of these rights, email support@itza.io. We may need to confirm your identity before acting on your request. We aim to respond within one month and there is no charge, although we may refuse requests that are clearly unfounded or excessive.

Complaints

If you have a concern about how we handle your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.

Changes to This Policy

We may update this policy from time to time, for example if we add new features to GetSet or change service providers. We will post the updated policy on this page and change the "Last updated" date above. If we make significant changes that affect newsletter subscribers, we will let you know by email.
